Privacy Policy

This policy explains what information Oceanside City Roleplay's website and Discord bot collect, why, and how it's used. Oceanside City Roleplay is a community server for the Roblox game Emergency Response: Liberty County (ER:LC) — this site exists to support that community's website, applications, and staff tools.

Information We Collect

Discord account information. When you log in with Discord, we receive and store your Discord ID, username, discriminator, and avatar, along with the access/refresh tokens needed to keep you signed in. This happens through Discord's own OAuth2 login — we never see your Discord password.

Application submissions. If you apply to a division through the Applications page, we store your answers along with your Discord identity and the review outcome, as a permanent record of who applied and how it was decided.

Roblox account information. Anyone who links a Roblox account — via Connect Roblox on the site or Bloxlink in our Discord server — has that Roblox ID and username stored against their Discord account, not just staff. For staff specifically, this link is also required to verify you're in-game before starting a shift.

Staff activity and moderation records (staff only). For staff members, we log shift start/end times and break periods, and any moderation actions taken in-game (notes, warnings, kicks, bans) along with the Roblox account they were issued against and which staff member issued them.

Live server activity. We periodically check the ER:LC server's live player list to support shift verification and staff tooling. Join/leave activity shown in the Staff Panel is kept in memory only and is not written to our database — it's cleared automatically and doesn't persist.

How We Use Your Information

We do not sell your data, and we don't use advertising or analytics trackers on this site.

Data Retention

Application submissions are kept indefinitely as a historical record. Staff moderation logs are kept according to a retention window our admins can configure, or indefinitely if none is set. Your login session expires automatically after 7 days of inactivity.

Cookies & Local Storage

We use a single session cookie to keep you logged in. Your browser's local storage may also cache a copy of your profile (username/avatar) purely to avoid a flash of "logged out" while the page loads; it isn't used for tracking.

Quick Login device cookie. Right-clicking the login button offers a "Quick Login" option that signs you back in as whichever Discord account most recently logged in on that specific browser, without going through Discord again. This works via a second cookie — a random identifier, not derived from your device or browser in any way that could track you elsewhere — paired with a record in our database of which Discord account it belongs to. You can clear this cookie and delete its record at any time from Settings → Reset Cookie Preferences.

Your Rights

You can ask us to remove your account data at any time by reaching out to server staff in our Discord server. Application submissions and staff moderation logs may be kept as a historical record even after a removal request, where needed for accountability.

Children's Privacy

This community operates on Roblox and Discord, both of which set their own minimum age requirements — please refer to their respective policies. We don't knowingly collect more information from anyone than what's described above.

Changes to This Policy

We may update this policy as the site changes. Continued use of the site after an update means you accept the revised policy.
